For tax preparers and bookkeepers

Below is a one-page sheet you can print or forward to your self-employed clients in January. It tells them what to gather and how to hand it over, and it suggests Loonie Logs as the tool for keeping it organized during the year. Use it with or without the app part; the checklist stands on its own.

How to use this page

  1. Add your referral code below if you have one; it appears on the sheet so clients who sign up are linked to you.
  2. Print it, save it as PDF from the print dialog, or send clients the link to this page with your code in it.
  3. Clients who use the app can send you a read-only link to their year: income, expenses by T2125 line, GST/HST, mileage, home office, with receipts attached.

The page prints without this section, with only the one-pager.

What you receive

  • A read-only link to the client's year: income, expenses by T2125 line, GST/HST, mileage, home office, with every receipt attached. No login, no account on your side.
  • An Excel workbook with the same totals by line number, and a one-page PDF summary, both exported by the client.
  • Your referral code gives each client extra free receipt scans and ties their sign-up to you. Questions about the format or a client's file: email me directly.

Six letters and numbers, from Settings → Refer a friend in the app. Leave blank for a sheet without a code.

How to hand me a complete T2125 package

A complete package means fewer back-and-forth emails, a faster return, and lower odds of a CRA request we can't answer. Here is what I need from you and the easiest way to get it to me.

What to gather

  • All income: invoices, T4A slips, platform statements (Uber, DoorDash, Etsy, Airbnb), with the GST/HST you charged shown separately.
  • Expenses by category with receipts: software, phone, supplies, fees, advertising, meals (keep the receipt, not just the card statement).
  • Vehicle: business kilometres and total kilometres for the year, plus fuel, insurance, licence, maintenance, and loan interest or lease costs.
  • Home office: total square footage and the office's, plus rent or mortgage interest, utilities, insurance and property tax for the year.
  • GST/HST: what you collected and what you paid, and whether you use the quick method.
  • Anything you bought that lasts more than a year (computer, equipment, vehicle): date, cost, and the receipt.

During the year

Keep every receipt the day you get it. Photograph paper ones; forward emailed ones to one place. Six years is how long the CRA can ask.

Write down your odometer on January 1 and December 31. It's the one number nobody can reconstruct later.

Set aside roughly 25 to 30 percent of what you invoice for income tax and CPP, plus the GST/HST you collect, which was never yours.

The easy way: Loonie Logs

A Canadian app for exactly this. You scan receipts as they come in, it files each one on its T2125 line, tracks GST/HST and mileage, and at year end sends me one package.

  1. Install Loonie Logs from the App Store and set up your business (province, GST/HST, vehicle, home office). Five minutes.
  2. Scan receipts during the year: photo, share from email, or forward to your private receipts address.
  3. In the spring, run the year-end check and send me the share link from Settings → Share with accountant.

  • March 15, June 15, September 15, December 15: income tax instalments if the CRA asked for them.
